FFL Connect AI — Use & Data Notice

FFL Connect AI is a member research assistant designed to answer FFL-related questions using a curated knowledge base. This notice explains how to use it responsibly and what happens to information entered into the feature.
What the Assistant Is Designed to Do
The assistant is designed to find and synthesize FFL Connect resources, regulatory updates, selected official source material, and private knowledge notes approved for AI retrieval. It can help locate a starting point, explain terminology, compare procedures, and identify potentially relevant source material.
What It Cannot Do
It cannot issue a binding agency interpretation, approve a transfer, guarantee that a course of action is lawful, replace a fact-specific legal analysis, or know every state and local requirement. Generative AI can produce confident-sounding mistakes.
Information You Should Not Enter
- Unredacted Forms 4473 or other purchaser records.
- Social Security numbers, full driver-license or identification numbers, dates of birth, payment-card data, account passwords, or authentication secrets.
- NICS information or transaction identifiers unless a specific, legitimate support process requires it and FFL Connect has provided a secure method.
- Confidential third-party information that you are not authorized to disclose.
- Any information that is unnecessary to explain the compliance issue.
How AI Data Is Used
The launch implementation uses the OpenAI API. Prompts and the data necessary to retrieve and generate a response are sent to OpenAI when the assistant is used. OpenAI currently states that API inputs and outputs are not used for model training by default unless an API customer affirmatively opts in to data sharing; provider retention and data-control settings are governed by the provider’s current API terms and configuration. FFL Connect stores conversation history, generated responses, source references, and member feedback in the FFL Connect WordPress database to provide conversation continuity, enforce usage limits, troubleshoot, review quality, and improve the curated knowledge base. Approved FFL Connect source material is separately uploaded to an OpenAI vector store for retrieval; member chat prompts are not automatically promoted into that curated source library.
Verify Before Acting
For an important answer, open the cited FFL Connect resource and primary authority. Pay particular attention to the status and date of regulatory material. A proposed rule, rescinded letter, withdrawn rule, or pending court decision should not be treated as an operative requirement merely because it is relevant to the subject.
Escalate High-Risk Issues
Consult qualified legal counsel or appropriate official guidance for uncertain factual situations, inspections, warning conferences, license actions, criminal or civil exposure, contested classifications, subpoenas, litigation, or other high-consequence matters.
